Receipt and Image Imports with Receipt Scanning

Receipt Scanning lets you quickly add transactions by uploading digital receipts—including screenshots, images, or files saved from email—or by photographing a paper receipt. This feature extracts key details, such as merchant, amount, and date, to help you create accurate transactions and attach receipt images to your records. When a transaction already exists, Receipt Scanning enhances it by adding a tag, notes, and the uploaded image.

How Receipt Scanning works

Receipt Scanning uses AI to extract information from your uploaded receipt, suggest matching transactions, and/or enrich existing transaction details. When applicable, it will also split a single receipt into multiple transactions grouped by category (for example, Groceries and Household).

  • When a receipt matches an existing transaction, it adds a Receipt Import tag, includes notes, and attaches the image. Amounts are not overwritten. Receipts are matched based on amount, date, and merchant name (case-sensitive):
    • If the merchant name matches, the transaction date can be up to 2 days before or 7 days after the receipt date.
    • If the merchant name does not match, the transaction date must be within 1 day of the receipt date.
  • When a match cannot be made, it continues attempting to match the receipt to newly posted transactions. You can also manually create or match the transaction at any time.

Scan or upload a receipt on Mobile

Tip: Use Monarch widgets on iOS and Android to start scanning or uploading a receipt right from your home screen. You can also long-tap the Monarch app icon or setup an iOS shortcut.

The Receipts page is where you can manage all your receipts.

  1. Open the Monarch mobile app.
  2. Open the navigation sidebar menu and select Receipts.
  3. Select Scan Receipt. (Note: The first time you scan a receipt, your device will prompt you to allow camera access).
  4. Choose how you want to add your receipt:
    • To scan a receipt: Align the receipt in the frame and take a photo.
    • To upload from your device:
      • iOS: Tap Select existing photos and choose your image(s).
      • Android: Select the photo icon in the top-right corner and choose your image(s).
  5. Select Add/Upload.
  6. Review the proposed details and edit as necessary:
    • Merchant
    • Amount
    • Date
    • Subtotal (if applicable)
    • Tax (if applicable)
    • Tip (if applicable)
    • Line Items (if applicable)
  7. Select Create Transaction.
Tip: For best results, take photos on a clean, flat, well-lit surface and avoid creases and shadows.

Scan or upload a receipt from the Transactions page on Mobile

  1. Navigate to the Transactions page on the Monarch mobile app.
  2. Select Add > Scan receipt.
  3. Choose how you want to add your receipt:
    • To scan a receipt: Align the receipt in the frame and take a photo.
    • To upload from your device:
      • iOS: Tap Select existing photos and choose your image(s).
      • Android: Select the photo icon in the top-right corner and choose your image(s).
  4. Select Add/Upload.

Upload a receipt from your photo gallery on Mobile

  1. Open your mobile device’s photo gallery.
  2. Select the receipt image. (To bulk upload receipts, select multiple files).
  3. Select Share.
  4. Choose the Monarch app.

Scan or upload a receipt on Web

The Receipts tab on the Transaction page is where you can manage all your receipts.

  1. Navigate to the Transactions page.
  2. Select the Receipts tab.
  3. Select Upload a file from the Upload receipt box in the top right.
  4. Choose your file(s). (To bulk upload receipts, select multiple files in the file picker).
  5. Select Open.
  6. Your file will be added to your Receipts tab, select the newly uploaded receipt to edit any details as necessary:
    • Merchant
    • Amount
    • Date
    • Subtotal (if applicable)
    • Tax (if applicable)
    • Tip (if applicable)
    • Line Items (if applicable)

FAQs

What if no matching transaction is found?

If a match isn’t found right away, you have two options:

  • Select Add transaction to create a new transaction from the receipt details.
  • Select Find match to search your recent transactions and match the receipt to an existing transaction.

If a matching transaction hasn’t posted yet, Receipt Scanning will continue trying to find a match as new transactions arrive. You can also come back later to match it manually. To avoid duplicate transactions, don't create a new transaction if you're still expecting the transaction to post.

Why did my scanned receipt create multiple transactions and add a note?

Auto-split transactions and Add transaction notes are enabled by default. To turn these off, open Settings, shown as a gear icon, from the Receipt Scanning page and update your preferences.

How are taxes handled with auto-split transactions?

When a transaction is split, taxes are distributed proportionally based on the split amount, and delivery fees and other fees are split evenly across all items.

If I delete a receipt, will it delete the transaction too?

No, receipt deletion and transaction deletion are separate. If you delete a receipt, the transaction stays. You can delete either the receipt or the transaction independently.
