Shared Views in Monarch

Managing money together is easier when everyone can see what’s theirs, what’s shared, and how it all fits together. That’s why we offer Shared Views: a way for households and collaborators to manage finances in Monarch.

Shared Views allows you to assign ownership to accounts and transactions, making it simple to personalize what you see without losing sight of the bigger picture. They’re designed to bring clarity and control, helping you and your household manage money in a way that works for everyone — so your financial life is more collaborative, not more complicated.

Note: Shared Views are only available for households with multiple members. Once a household member has been added to your account, they have full visibility into the data on the Monarch account.

Overview

Every account and transaction in Monarch can now be assigned to an owner:

  • Shared: Shared between the whole household.
    • We recommend using the “Shared” label for accounts and transactions that are seen as shared across the household. The accounts don’t necessarily need to be joint accounts, but will contain transactions that pertain to both members.
  • Individual: Belongs to one person in the household.
    • We recommend using individual owners for accounts that are used by only one person in the household, and/or for transactions that belong to just a single person.

Note: For already existing accounts, ownership is set to "Shared" by default, and can be updated at any time. When adding a new credential, you can update account ownership as part of the account setup process.

By default, transactions automatically take on the same owner as their account. If needed, you can change ownership for individual transactions or create rules to ensure certain types of transactions are always assigned to a specific owner. Want more immediate visibility into transaction ownership? Add this column to the main transaction page in your Display Settings.

From there, you can filter your finances by owner. For example:

  • See just your own spending in Reports.
  • Focus on your partner’s accounts in Transactions.

Getting Started

    1. Invite your partner (or household members): From the Members page, send an invitation by email. New members will land directly on the dashboard after signing up. Read more.
    2. Set account ownership: When you invite a new member to your household, you’ll be prompted to assign account ownership right away. If you already have household members, you’ll see this prompt the next time you log in. However, you can also update or assign account ownership at any time.
      • New accounts: When connecting new accounts, you'll be prompted to assign an account owner.
      • Existing accounts: For accounts that already exist, you can edit the owner in two ways: by clicking “Edit Owners” at the top of the Accounts page, or by visiting the details page for any individual account and clicking "Edit" in the upper right corner.

    1. Set transaction ownership: By default, transactions inherit the ownership of their originating account. However, you can adjust ownership for individual transactions to accurately reflect who each transaction belongs to. Note: If you want to see transaction ownership on the main transactions page instead of just in the transaction details, you can update this in your Display Settings.
      • Bulk transaction edit: On mobile, select the checkbox icon at the top of the Transactions page. On web, click “Edit multiple” in the upper right corner. From there, select the transactions in question and click the orange “Edit” button to update the ownership.
        Pro tip: If you’ve been using tags to track ownership, you can filter by those tags and use bulk editing to assign transaction owners instead!
      • Single transaction edit: View the transaction details to update the ownership.

    1. Filter your views: Use the ownership filters in Accounts, Transactions, Reports, or Cash Flow to see what matters most to you.

Filtering & Reporting with Shared Views

After you've assigned ownership, the magic happens. You can use filters and reports to create custom views of your finances. You'll find these filters in key areas of the app, including:

  • Accounts: See any combination of just your personal accounts, your partner's accounts, or your joint accounts.
  • Transactions: Filter transactions to see who spent what, making it easier to track individual and shared spending.
  • Reports & Cash Flow: Generate reports and analyze cash flow based on ownership. For example, you can create a report that only shows your spending to understand your personal budget better, or filter for "Shared" to get a clear picture of household expenses.

Using Rules with Shared Views

With Monarch’s powerful rules, you can automate transaction ownership—user ownership to assign tags, categories, review status, and more, or let Monarch automatically set owners based on merchant, category, or other criteria.

Pro tip: Use rules to automatically split a transaction and assign different owners to each split!

  • Assign a transaction owner based on rules: You can use rules to automatically assign certain transactions to a household member based on merchant, amount, category, and more!

  • Make a rule based on the transaction owner: Use rules to update any transaction based on the owner: update the category, assign tags, set review status, or more!

Note: If a user is deleted, and there are rules in which that user is referenced as a criteria, action or split action, then those related rules will be deleted too

Frequently Asked Questions

I want to see the transaction owner on the main transaction page. Can I do that?

Yes! You can turn this on in your Display Settings

Once turned on, you can see the icon and drop-down to change the owner easily.

Can I switch who is the household admin?

Yes. Reach out to customer service to switch the admin and member roles (click “Help and Support” from the left-hand dashboard). 

If I set an account to mine, will my partner or other household members still be able to see it? Can I set an account to private so it’s only visible to me?

At this time, all accounts are visible to all household members. You can choose to hide an account in the settings, but it will still be visible to all members from the Institution Settings or if hidden accounts are expanded on the accounts page. We’re exploring adding this functionality in the future.

Are ownership filters preserved based on my preferences?

Not at this time - but persistent filters are an enhancement we’re working on for the future!

Can I add account owners who aren’t in my Monarch household?

At this time, account and transaction ownership is limited only to Monarch household members.

Can each household member have their own budget or view budget contributions individually?

Each household shares one budget, creating a unified view of spending, saving, and goals—so everyone stays on the same page and making it easy to plan, track, and celebrate financial progress as a team.

Previously I was using tags to keep track of individual and shared transactions. How can I update to using Shared Views?

If you have been using tags to track ownership, you can filter by those tags and use bulk editing to assign transaction owners instead!
